Reduce no-shows with reminders and deposits: a RazorBooking reminder and a paid deposit

Reminders cut no-shows by about a quarter. Here are 7 proven ways to reduce no-show appointments, plus a no-show policy template you can copy today.

Appointment no-shows are one of the most frustrating problems for a service business. They don't just waste time. They cost revenue, disrupt your schedule and take a slot another client could have used.

The good news is that no-shows are predictable, and mostly preventable. With the right system, you can cut them sharply.

The short answer: to reduce no-show appointments, send automatic reminders that ask clients to confirm, make rescheduling and cancelling one tap, take a deposit at booking, and back it with a clear no-show policy. In a review of 21 studies published in BMJ Open, patients who got text reminders were about 25% less likely to miss their appointment.

We build RazorBooking, a booking platform, so we point to it where it helps. Every strategy below works with other tools too.

What is a no-show appointment?

A no-show is a client who books an appointment and doesn't turn up, without cancelling. A late cancellation, inside your notice window, usually costs you the same, because the slot is too late to fill.

Why clients don't show up

  • They forgot. The most common reason, especially for appointments booked weeks ahead.

  • Cancelling was too much hassle. If cancelling means a phone call, many people just don't come. Owners on Reddit's r/smallbusiness say this again and again.

  • They said yes to be polite. Some people book to avoid an awkward "no", with no plan to show up.

  • Nothing was at stake. A free booking is easy to skip.

  • Something came up. Real emergencies happen. A good policy allows for them.

What no-shows cost you

Work it out for your own business in one line:

No-shows per week × average appointment price × 52 = what no-shows cost you each year.

Three no-shows a week at $60 is $9,360 a year. That doesn't count the client on your waiting list who could have had the slot.

7 proven strategies to reduce no-show appointments

1. Send automatic reminders, on more than one channel

Most no-shows happen because people forget. Automatic reminders by WhatsApp, text or email fix most of that. The BMJ Open review found that text reminders raised attendance from 54% to 67%, and that several reminders worked better than one.

A good rhythm:

  • A confirmation straight after booking

  • A reminder 24 hours before

  • A short reminder a few hours before

Use the channel your clients actually read. For many, that is WhatsApp or text rather than email. Consistency matters more than clever wording.

2. Ask clients to confirm, and act on silence

A reminder that needs a reply works better than one that is just information. Ask clients to confirm their visit 24 to 48 hours before. Owners on r/healthIT recommend tying the reminder to an action, such as "tap to confirm, or reschedule here". If a client doesn't confirm, you know the slot is at risk while there is still time to call them or offer it to someone else.

3. Make rescheduling and cancelling one tap

If changing a booking is hard, clients simply don't come. Put a reschedule and cancel link in every confirmation and reminder. A cancellation 24 hours ahead is a slot you can fill. A no-show is not.

4. Take a deposit, and set a no-show fee

When clients pay something upfront, they turn up. Even a small deposit filters out casual bookings.

  • How much: a common rule shared on r/smallbusiness is full prepayment for services under $100, and a 25% to 30% deposit above that.

  • Who for: many owners take deposits only from new clients, for high-demand slots, or from clients who have missed before. Asking loyal regulars can feel like an insult.

  • What it does: one owner on r/smallbusiness said moving to full upfront payment brought them down to three no-shows in two years, with no pushback from clients.

No-show fees

A no-show fee is a charge for missing an appointment or cancelling too late. A common pattern is 50% of the service price for a late cancellation and up to the full price for a no-show. To keep goodwill, many owners give each client one courtesy waiver for a genuine emergency. Whatever you choose, put it in writing and show it at booking.

5. Be clear about the details

Confusion leads to absence. Every confirmation should state:

  • The date and time, in the client's time zone

  • The address and parking, or the meeting link

  • Anything they need to bring or do beforehand

  • Your cancellation and no-show policy

6. Watch which slots and clients miss most

No-shows aren't spread evenly. Some time slots miss more often, and appointments booked far ahead are easier to forget. Track no-shows by day, time, service and client. Then shorten how far ahead people can book, ask for deposits on the riskiest slots, and keep an eye on repeat offenders.

7. Use a booking system that does all of this for you

Managing appointments by hand means missed reminders, no tracking and no deposits. A booking system automates the work. RazorBooking sends reminders, lets clients confirm, cancel or reschedule from the message, takes deposits, charges no-show fees and tracks who doesn't show, all in one place.

How to write a no-show policy (free template)

Many owners say the hardest part isn't writing a policy, it's enforcing it without feeling rude. A clear policy, shown at booking, takes the awkwardness away: the client agreed to it before they booked.

A good no-show policy covers four things: how much notice you need, what happens if they cancel late, what happens if they don't show, and how exceptions work.

Template you can copy

"We hold your appointment time just for you. If you need to cancel or reschedule, please let us know at least 24 hours before your appointment, using the link in your confirmation. Cancellations with less than 24 hours' notice will be charged 50% of the service price. Missed appointments without notice will be charged the full service price. A deposit is required to book, and it goes toward your service. We understand emergencies happen, and we offer a one-time courtesy waiver. Thank you for respecting our time and the time of other clients."

Change the notice window, percentages and deposit to fit your business. Show the policy on your booking page, in the confirmation and in your reminders. Rules on charging fees can differ by industry and location, especially in healthcare, so check what applies to you.

What to do after a no-show

  1. Mark it as a no-show in your booking system, not just "cancelled", so you can see patterns.

  2. Message the client the same day. Keep it friendly: "We missed you today. Would you like to rebook?" Many no-shows are honest mistakes.

  3. Apply your policy consistently. Charge the fee, or use their one courtesy waiver, and say which.

  4. Change the rules for repeat no-shows. After two or three, require a deposit or full prepayment. Some therapists on r/slp move repeat no-shows off fixed recurring slots until they attend reliably.

  5. Fill the gap next time. Keep a short list of clients who want an earlier slot, and message them when someone cancels.

How RazorBooking helps reduce no-shows

  • Automatic reminders by WhatsApp, SMS and email. Clients get confirmations and reminders in the app they already read.

  • Confirm or cancel from the reminder. Clients reply in one tap, so you know which slots are at risk.

  • Self-rescheduling. Clients move their own booking from a link, instead of skipping it.

  • Deposits at booking. Take a deposit or full payment through your own Stripe or PayPal account. RazorBooking adds no commission.

  • No-show and cancellation fees. Set your policy and charge it when needed.

  • No-show tracking. Mark no-shows and see which clients miss repeatedly.

Frequently asked questions

How do I reduce no-show appointments?

Send automatic reminders that ask clients to confirm, make cancelling and rescheduling one tap, take a deposit at booking, and set a clear no-show policy that you apply consistently.

Do appointment reminders reduce no-shows?

Yes. A review of 21 studies in BMJ Open found that people who got text reminders were about 25% less likely to miss their appointment, and several reminders worked better than one.

How do appointment deposits help reduce no-shows?

A deposit gives the client something to lose, so casual bookings drop and people who can't come cancel in time. Many businesses take a deposit only from new clients or for high-demand slots.

How much should I charge for a no-show?

A common pattern is 50% of the service price for a late cancellation and up to the full price for a no-show. Choose what fits your prices and clients, and state it in writing.

Is it legal to charge a no-show fee?

In most places, yes, if the client agreed to the policy before booking. Rules can differ by industry and location, especially in healthcare and for insurance-funded patients, so check what applies to you.

How do I handle a client who keeps not showing up?

Follow up each time, apply your fee, and after two or three no-shows require a deposit or full prepayment before they can book again.
