Automate appointment reminders by WhatsApp, SMS and email in RazorBooking notification settings

Set up automated appointment reminders in 5 steps: timing, channels, setup and tracking. Includes free text, WhatsApp and email reminder templates to copy.

You've got 12 appointments scheduled for tomorrow. That means 12 reminder calls or messages to send today, all while serving clients, managing your team and keeping the business running. Miss even one reminder, and you risk an empty slot and lost revenue.

The truth is, manual appointment reminders are a hidden time drain. They seem like a small task, but they quickly add up to hours of repetitive work every week.

The good news? You don't have to do it by hand. With the right system, you can automate the whole process and make sure every client gets reminded, without adding work to your day.

The short answer: to automate appointment reminders, put every booking into one scheduling tool, set your reminder times (right after booking, 24 to 48 hours before, and 1 to 3 hours before), choose SMS, WhatsApp or email, turn on automatic sending, then track confirmations and no-shows to fine-tune the timing.

Here's how to do it step by step, with templates you can copy at the end.

We build RazorBooking, a booking platform, so we show how setup works there. Every step works with other tools too.

What are appointment reminders, and why do they matter?

Appointment reminders are messages sent to clients before their scheduled appointments. They can go out by SMS, email, phone call or messaging apps like WhatsApp, and they help clients remember, confirm or reschedule their booking.

  • Missed appointments cost time and money. Every no-show leaves an empty slot that could have gone to another client.

  • People forget. Busy schedules and distractions make it easy for clients to lose track of a booking made weeks ago.

  • Manual follow-ups are inefficient. Calling or messaging every client by hand quickly becomes time-consuming.

  • Clear communication improves the client experience. Clients appreciate timely reminders and clear expectations.

  • No-shows disrupt your schedule. Last-minute absences create gaps that affect staff and the rest of your day.

And reminders work. A review of 21 studies published in BMJ Open found that people who got appointment reminders by text or other digital notifications were about 25% less likely to miss their appointment than people who got none, and that several reminders worked better than one. For the full set of no-show fixes beyond reminders, see our guide on how to reduce no-show appointments.

The real cost of sending reminders manually

  • It takes time every day. Staff repeatedly call or message clients instead of focusing on higher-value work.

  • It invites human error. One missed or wrong reminder can mean an empty slot and lost revenue.

  • It doesn't scale. As bookings grow, the workload grows with them, and so does the need for extra staff.

  • It makes communication inconsistent. Some clients get reminders late, and others get missed entirely.

  • It adds hidden operating costs. A "quick" task turns into hours of repetitive work each week.

Do the math for your own business. At 12 appointments a day and about 3 minutes per reminder (finding the number, writing the message, answering the reply), that's 36 minutes a day, or 3 hours over a 5-day week. Automation gives those hours back.

Before you start: three things to get right

  1. Collect the right contact details. Ask for a mobile number and an email address at booking, and make them required fields on your booking form. A reminder can't reach a client you have no number for.

  2. Get permission to message clients. In the US, texting rules generally expect the client to agree before you send automated texts, and WhatsApp also requires clients to opt in. A line on your booking form ("We'll send appointment reminders by text and email") plus an easy way to opt out is a sensible default. This isn't legal advice, so check the rules for your state and industry.

  3. Decide your cancellation window. If clients must cancel 24 hours ahead, your main reminder needs to arrive before that window closes. More on this in Step 2.

How to automate appointment reminders: 5 steps

Step 1: Put all your bookings in one system

Automation only works on bookings the system knows about. Move every appointment into a single scheduling platform: online bookings, but also the ones that come in by phone, walk-in or text. If a booking only lives in a notebook or someone's head, it won't get a reminder.

Connect your Google or Outlook calendar too, so personal events block time and the calendar stays accurate. One calendar also prevents a second problem: see our guide on how to stop double bookings.

Step 2: Set your reminder schedule

Decide when reminders go out. A common schedule is one message right after booking, one a day or two before, and one a few hours before.

When

What to send

Why it matters

Right after booking

Booking confirmation

The client checks the date, time and service while the booking is fresh

24 to 48 hours before

Main reminder, with a confirm and reschedule link

Gives the client time to move the booking before your cancellation window closes

1 to 3 hours before

Short same-day reminder, with the address

Catches clients who simply forgot that morning

About a week before (optional)

Early reminder

Useful for appointments booked a month or more ahead

Match the main reminder to your cancellation window. If clients must cancel 24 hours ahead, a reminder at exactly 24 hours gives them no time to act. Send it 36 to 48 hours before instead, so a client who can't make it can still reschedule without a fee. Our post on last-minute cancellations covers cancellation windows in more detail.

Step 3: Choose your channels

Send reminders where your clients actually look. Most businesses use a messaging channel for the reminder itself and email for the details.

Channel

Best for

Watch out for

SMS (text)

Short, time-sensitive reminders. Works on every phone, no app needed.

Usually costs per message. Keep it short. Needs the client's consent in the US.

WhatsApp

Clients who already use WhatsApp every day. Allows friendlier formatting.

Less common in the US than in many other countries, so ask clients first.

Email

Confirmations, prep instructions, policies and longer details.

Easier to miss or land in spam. Weaker for same-day reminders.

People tend to see a text or WhatsApp message sooner than an email, which makes them better for the 24-hour and same-day reminders. Email is still the best place for anything the client needs to read carefully.

Step 4: Turn on automatic reminders

Once your schedule and channels are decided, set them up once in your booking tool. From then on, every new booking gets its reminders scheduled automatically, with no manual input. Here's what that looks like in RazorBooking:

  1. Go to Settings โ†’ Notifications.

  2. Turn on the channels you want: WhatsApp, SMS and email.

  3. Add your reminder times, for example 48 hours and 2 hours before the appointment. You can set more than one.

  4. Edit your reminder wording if you want your own tone. You can change the wording of SMS, WhatsApp and email reminders, and paste in the templates below. Each reminder includes the booking details and links to confirm, cancel or reschedule.

  5. Check your monthly message allowance. SMS and WhatsApp reminders count against your plan's monthly messages as they're sent (100 on Solo, 500 on Pro, 1,000 on Growth), so three reminders per booking use more than two.

  6. Make a test booking with your own phone number and email, and check that every message arrives, the details are right and the links work.

Using a different tool? Look for a "Notifications" or "Reminders" section. The steps are the same: pick channels, set times, check the wording, and test it on yourself.

Step 5: Track results and adjust

Automation isn't set-and-forget. Check a few numbers every month:

  • Confirmation rate: how many clients confirmed after the reminder

  • No-show rate: no-shows divided by total appointments

  • Late cancellations: how many cancel inside your cancellation window

Owners on Reddit's r/smallbusiness recommend tracking shows and no-shows inside your booking tool, so you can see whether your reminders are working. In RazorBooking, you can see which clients confirmed from their WhatsApp reminder, and no-shows are recorded on each client's history.

Then adjust. If many clients don't confirm, add a same-day reminder. If clients cancel inside your window, send the main reminder earlier. Give each change a few weeks before judging it.

What to include in your reminder messages

  • Appointment details. The date, time and service, written clearly so there's no confusion. Write "Tuesday, October 20 at 3:00 PM", not "10/20 15:00".

  • Business information. Your business name and, if relevant, the address or meeting link.

  • The client's name. A simple personal greeting makes the message clearer and more likely to be read.

  • Instructions or requirements. Any prep steps, documents or items the client needs to bring.

  • A way to reschedule or cancel. A link they can use themselves, so they move the booking instead of skipping it.

  • Contact information. A phone number or way to reach you if they have a question or are running late.

Keep text messages short, about 160 characters once the details are filled in. Put the longer details, like prep instructions and your cancellation policy, in the email.

Appointment reminder templates you can copy

Replace anything in [brackets] with your own details. Most booking tools fill these in automatically.

How many reminders is too many?

Some owners worry that reminders will annoy clients. One or two well-timed reminders rarely do. What annoys people is repetition: the same message on three channels at once, or a reminder every day for a week.

  • Two or three messages per appointment is plenty, counting the booking confirmation.

  • If you turn on several channels, keep the number of reminder times low.

  • Stop once the client confirms, if your tool allows it.

  • Keep every message useful. No promotions in a reminder, just the appointment.

Common mistakes to avoid

  • Sending reminders too late. Clients need enough notice to plan or reschedule, ideally before your cancellation window closes.

  • Overloading the message. Too much detail makes it harder to act on. Keep texts short and put the rest in email.

  • Unclear timing or formatting. Ambiguous dates, times or time zones increase the risk of missed appointments.

  • No reschedule option. Clients should always have a simple way to change the booking instead of skipping it.

  • Ignoring replies. Clients often reply to a reminder with "running late" or "can I move this?" Make sure someone on your team sees those replies, or tell clients in the message how to reach you.

  • Never testing. Book yourself an appointment after any change and check every message.

  • Still sending by hand. Manual reminders are inconsistent and don't scale as your bookings grow.

Frequently asked questions

What is the best time to send appointment reminders?

A common schedule is right after booking, 24 to 48 hours before the appointment, and again 1 to 3 hours before. If you have a 24-hour cancellation policy, send the main reminder 36 to 48 hours ahead so clients can still reschedule.

Do appointment reminders reduce no-shows?

Yes. A review of 21 studies in BMJ Open found that people who received digital reminders were about 25% less likely to miss their appointment, and that several reminders worked better than one.

Are automated reminders better than manual reminders?

For most businesses, yes. Automated reminders go out on time for every booking, don't depend on someone remembering, and save hours each week. Keep personal calls for special cases.

How do I send appointment reminders by text automatically?

Use a booking tool with SMS reminders. Turn on SMS in its notification settings, choose when reminders go out, and test it with your own number. Every new booking then gets its reminders without manual work.

Do automated reminders cost money?

Email reminders are usually included in booking tools. Text and WhatsApp reminders usually cost a little per message, either through credits or a monthly allowance. In RazorBooking, every plan includes SMS and WhatsApp messages each month: 100 on Solo, 500 on Pro and 1,000 on Growth. Email reminders are unlimited.

Can Google Calendar send appointment reminders to clients?

Only partly. Google Calendar's appointment schedules can send automatic email reminders to clients, but that needs a paid Google One or Google Workspace plan, and there are no text reminders. For text or WhatsApp reminders, you need a booking tool.

Conclusion

Automating appointment reminders isn't just a convenience. It's a practical step toward fewer no-shows, a smoother schedule and less time spent on follow-ups. When reminders are consistent, timely and clear, clients are far more likely to show up prepared and on time.

If you're still sending reminders by hand, this is where small inefficiencies add up quickly. Set it up once, test it, and let it run in the background.
